Position Summary:

The Institutional Assistant provides essential administrative and logistical support to the Institutional Customer Service and Purchasing departments. This position ensures accurate inventory tracking, smooth processing of inbound purchase orders, and proper documentation for outbound customer orders. The ideal candidate is organized, detail-oriented, proactive, and committed to providing excellent service to both internal teams and external institutional partners.

Essential Job Functions:

• Provides exceptional customer service support to internal departments and external institutional clients.
• Tracks and monitors product movement within the warehouse to ensure real-time visibility and manage inbound and inventory accuracy.
• Oversees and manages inbound Purchase Orders (POs), including receipt, verification, and data entry into internal systems.
• Prepares and manages Bills of Lading (BOLs) for all outgoing orders, ensuring timely and accurate documentation.
• Communicates with carriers and vendors to resolve discrepancies and ensure smooth delivery processes.
• Assists with audits, cycle counts, and inventory reconciliation as needed.
• Maintains up-to-date records in inventory and logistics management systems.
• Collaborates with warehouse, procurement, and logistics teams to improve operational efficiency. Ensures adherence to company procedures, safety protocols, and quality standards.
• Performs other related duties as assigned.

Minimum Qualifications: (Education, Knowledge, Skills, & Abilities)

• High school diploma or equivalent; associate degree in business, supply chain, or related field preferred.
• Minimum one (1) year of experience in administrative support, logistics, or warehouse coordination.
• Strong organizational skills with the ability to manage multiple tasks and priorities
• Excellent communication skills, both written and verbal.
• Proficiency with Microsoft Office Suite (Excel-especially pivot tables, Word, Outlook) and inventory management systems.
• Attention to detail and accuracy in data entry and documentation.
• Ability to work effectively with cross-functional teams.
• Must be able to lift up to 25 pounds occasionally.
